Communication Privacy and Confidentiality Policies

Email is the go-to communication for client-sensitive information.

Direct messaging via SMS/text is a client-consented communication channel that is used on a need basis. For SMS/text, the clients and clinicians are addressed using initials to maintain confidentiality, and sensitive information is shared only through email.

Limits of Confidentiality

While we are committed to maintaining your privacy, there are important legal and ethical limits to confidentiality. HeartConnect therapists are required by law to break confidentiality in the following circumstances:

  • Risk of harm: If you pose an immediate risk of serious harm to yourself or others, we are obligated to take appropriate action, which may include notifying relevant authorities or emergency services.
  • Child or elder abuse: If there is reasonable suspicion of child abuse, neglect, or elder abuse, we must report to the appropriate authorities as required by Alberta law.
  • Legal proceedings: If your records are subpoenaed by a court of law, we must comply with legal requirements to disclose information.
  • Professional supervision: Your therapist may discuss your case (without identifying details) with a clinical supervisor for consultation and professional development purposes. Supervisors are also bound by confidentiality.
  • Insurance claims: When submitting claims to your insurance provider, we share necessary clinical information to support billing and coverage determination.

Outside these circumstances, your information remains confidential and will not be shared with third parties without your explicit written consent.

How Long We Keep Your Records

Client clinical records are retained in accordance with College of Alberta Psychologists professional standards and applicable provincial legislation. If you would like specific information about record retention timelines, please contact us directly at 587-885-8131 or info@heartconnectpsychology.com.

Accessing Your Records

You have the right to request access to your clinical records. To request your file, please contact us in writing or by phone. We will respond to your request within a reasonable timeframe and may ask for written consent before releasing your information. There may be circumstances where a therapist advises against providing certain clinical notes (e.g., notes about third parties, or material that could cause psychological harm); in these cases, we will discuss this with you openly. Costs associated with copying and mailing records may apply.

If you have questions about how your information is handled or would like to request your records, please contact us at 587-885-8131 or info@heartconnectpsychology.com. We are committed to being transparent about privacy practices and welcome your questions.
